While using exact odometer read- ings is ideal, it is not always done this way. A daily listing of the total miles driven can suffice for one part; a notation of the round trip miles driven will suffice as well. There are a wide variety of online sources concerning this topic. In addi- tion, consult your office accountant or maintenance department on this mat- ter for the best method to develop and maintain these important rig and sup- port vehicle records. Scott Scott Cosby may be contacted via e-mail at michele@ worldwidedrillingresource.com 12 JANUARY 2015 WorldWide Drilling Resource ® Recordkeeping is Always Important by Scott Cosby Due to my upcoming marriage, this article is a review of the importance of recordkeeping concerning drill rigs, as well as support vehicles, including water trucks and personnel transportation, as appeared in the WWDR July 2012 issue: Recordkeeping is a tedious but nec- essary task to maintain for drill rigs and support vehicles, and often necessary for business purposes (e.g. taxes). Drill rig and support vehicle recordkeeping should be done in a timely manner at or near the time of the actual mileage and/or hour usage. The best suggestion is to maintain a diary or log book to track daily mileage and/or hour usage, espe- cially if rig equip- ment and support vehicles are used on a weekly basis. Ou r d r i l l c r ews maintain their own r i g and suppo r t vehicle log books with them in the field or in the office. It’s necessary to develop a system to organize those d a i l y / w e e k l y mileage and hour entries into a sus- tainable record. This developed system should also allow for rig and/or support vehicle notes con- cerning encountered problems, additions and/or subtractions to the log book, and so on. The office I work in uses Microsoft Excel spreadsheets for a monthly ac- counting of the log book entries, usually done on the 25th of the month.
